How to request a Session Extension for your EAP Client

Modified on Fri, 9 Oct at 5:16 PM

If an EAP/funded client has depleted their session entitlement, you can apply for extra sessions on their behalf.

Please note:
  • Not all EAP partners choose to allow session extensions for their people
  • If they do, approval is at the discretion of HR
  • Family members of employees covered by EAP typically can't have session extensions

There are two ways to request a Session Extension for your EAP Client, through the booking form when creating an appointment, or through Session Extensions in the left-hand menu.

Submitting a Session Extension through the Booking Form:

1. Login to your portal and click on create appointment.

2. Enter your clients name, and select them from the dropdown, if they are eligible for an extension then there will be a link that shows on the funding option similar to the below:

3. This will take you to Session Extension form. Once you are finished you can view your submission: How to view your Session Extension submission history

Submitting a Session Extension through the Session Extension tab:

1. Go to the Session Extension tab on the left hand side bar and select 'create session extension':

2. Search for the client by Contact (name) or Case number.

3.  If the card is green and shows 'Extensions supported', press Continue. This will take you to the extension form as per step 3 above.

3a. If the card is yellow, extensions are not available.

This case still has sessions remaining. Use the remaining allocation before requesting an extension. You must finish all your sessions before submitting an extension. If you believe someone will need more sessions early on, please book all of the sessions first in consultation with your client, and then the session extension button will appear.
The session extension request limit has been reached for this case. Some organisations have a limit on how many session extensions can be requested per case number. You have reached this limit.
UniMed cases do not support session extensions.Unimed Insurance does not grant session extensions.
Membership for this organisation is inactive. The client is no longer part of the organisation that allowed them EAP funding, so session extensions cannot be applied for.
This case has expired and cannot request a session extension.Their case number and allocation has expired for the year. You can't submit an extension on an expired case number. Check with the client, they may have a new allocation available if they wish to have more sessions, but they will need to book this to activate it.

If you are unable to apply for a session extension and believe you urgently need to request an extension, please contact us at therapist-support@myclearhead.com.

Any identifiable information about the client will be kept confidential from the workplace/organisation, and what we have found is the more context you can provide, the more likely workplaces/organisations are to approve these extra sessions.

Once you have completed the form, Clearhead will contact the client's workplace/organisation and come back to you with the outcome.

Please note that to best manage the client's expectation about the session extension request, we highly recommend that you do not specify the number of sessions you have requested and only inform them of the number of sessions approved.

This decision ultimately lies with their workplace/organisation and can take up to five working days.

Please do not proceed with any extra sessions until you hear back from Clearhead, as we cannot guarantee the funding of unapproved sessions.
